Privacy Notice

In this Privacy Notice, Promotion means the Hovis Live Good Local Challenge and Promoter means Hovis Limited of The Lord Rank Centre, Lincoln Road, High Wycombe, Buckinghamshire, HP12 3QS. Official Rules means the official rules of the Promotion available here.

This Privacy Notice sets out how the Promoter uses personal data about the following individuals in connection with the Promotion:

  • the person submitting the application for the Promotion; and
  • other members of Nominated Groups who are identifiable in the nomination (including Finalists).

If you make an application for the Promotion:

  1. Your personal data will be held by the Promoter and used only for the purpose of administering the Promotion (including verifying that you are a member of the Nominated Group). The terms and conditions included in the Official Rules are the legal basis for the Promoter's processing. If you do not provide your personal data, the Promoter cannot process your application and cannot notify you if your Nominated Group is successful.
  2. If your application is not successful, then the Promoter will delete your information promptly after the Winner has been selected and any related investigations into Finalists' and/or the Winner's compliance with the Official Rules has been completed. If your application is successful, then the Promoter will retain your personal data until 31st December 2018 to allow for the administration of prizes, the completion of any related investigations into Finalists' and/or the Winner's compliance with the Official Rules and the completion of publicity activities in connection with the Promotion.
  3. If you are an organiser, member or user of a Nominated Group:

The Promoter will hold and use personal data (including Special Categories of Data) of organisers, members or users of Nominated Groups submitted by the applicant (or obtained by the Promoter from publically available sources to assist with the selection of Finalists and the Winner) in connection with the Promotion only for the purposes of administering the promotion.
  5. The legal basis for the Promoter's processing of personal data is the terms and conditions included in the Official Rules and for processing of Special Categories of Data is the explicit consent of the individual.
  6. The Promoter requires the personal data of at least one organiser or member of each Nominated Group in order to verify their agreement to the Nominated Group's participation in the Promotion and to award, or notify that Nominated Group of, a prize or the opportunity to participate in a later stage of the Promotion. No other personal data is required from Nominated Groups, although it may assist applications to include case studies and examples of the work done by the Nominated Group which include personal data, at the discretion of the person making the application.
  7. If your application is not successful, then the Promoter will delete your information promptly after the Winner has been selected and any related investigations into Finalists' and/or the Winner's compliance with the Official Rules have been completed.
  8. If you are an organiser, member or user of a Nominated Group which is a Finalist, your personal data (including Special Categories of Data) provided by the applicant or any materials submitted by the Nominated Group in connection with the Promotion (including the Video Entry, any images or recordings of you included in such materials or any extracts from or edited versions of them), may be used by the Promoter, in the Promoter's publicity concerning the Promotion and its products, including on (or in) the Promoter's social media pages, websites, press releases and in advertising in any media (which may include outdoor, print, radio, television and digital media). The Promoter requires that organisers, members and users of Nominated Groups who are Finalists give their consent to appear in the Video Entry or else the Promoter will not be able to award the prize.
  9. If you organise a Nominated Group which is a Finalist or wins a prize, then the Promoter may make your name and county available, as a Finalist or Winner, on the Promoter's website and/or to people requesting that information in accordance with the Official Rules.
  10. If the application for your Nominated Group is successful, then the Promoter will retain your personal data until 31st December 2018 to allow for administration of prizes, the completion of any related investigations into Finalists' and/or the Winner's compliance with the Official Rules and the completion of publicity activities in connection with the Promotion.
  11. For all: disclosure, security and marketing The Promoter will not disclose or share personal data of the person submitting the application or of organisers, members or users of unsuccessful Nominated Groups submitted in connection with the Promotion with any third party other than those who are engaged by the Promoter to administer the Promotion and fulfil the prizes. The Promoter will not disclose or share personal data of the person submitting the application or of organisers, members or users of successful Nominated Groups submitted in connection with the Promotion with any third party other than those who are engaged by the Promoter to administer the Promotion, fulfil the prizes and/or to publicise the Promotion and the Promoter's products. Personal data may be sent to countries outside of the European Economic Area where the Promoter's (or its third parties') processing equipment is located in another country but the Promoter ensures that any transfer happens in accordance with the law.
  12. The Promoter follows good industry practice to keep personal data secure from loss, theft and unauthorized disclosure.

If you have separately opted in to the use of your personal data for marketing purposes by the Promoter, then the Promoter may additionally use, disclose, share and retain your personal information in accordance with Hovis' general privacy policy, which you can find at https://www.hovis.co.uk/other-pages/privacy-policy.
  14. Your rights

  15. Applicants and organisers, members or users of nominated clubs or groups have various rights with regard to their personal data which the Promoter holds about them:
    • a right to request a copy of that information;
    • a right to require that the Promoter erases your information (but note that if you are an applicant this will automatically remove your entry from the Promotion and, if you are an organiser, member or user of a nominated club or group, may affect the Promoter's ability to award, or notify your club or group of, a prize or the opportunity to participate in a later stage of the Promotion); and
    • a right to amend your information; and
    • the right to ask us to port (transfer) your information directly to you or another organisation.
  16. To exercise any of these rights, please contact us using the form or contact details available at https://www.hovis.co.uk/talk-to-us. You will need to make your request in writing, specifying the action that you want the Promoter to take and to provide proof of your identity.
  17. If you believe that the Promoter is not treating your personal data in accordance with the law, you have a right to lodge a complaint with the Information Commissioner's Office. You can find more details at their website https://ico.org.uk/.
